  • To contractors (e.g., photographers, lighting technicians, DJs) and service providers who are contracted to support our business and are bound by contract to maintain confidentiality and are not permitted to access your information for secondary use. We engage service providers to process personal information on our behalf pursuant to written contracts that limit processing to our instructions and prohibit use for other purposes. The following service providers will receive access to your personal information when you engage our services:
    • Google – email provider, website analysis, tracking and performance.
    • GoodShuffle Pro – booking and quoting software.
    • WordPress – website and webform host.
    • CallRail – phone provider and call-tracking service.
  • To comply with any court order, law, or legal process.
  • To protect the rights, property, or safety of Techtonic Events, our customers, or others.

8. Data Security

We have implemented measures designed to secure your personal information from accidental loss and unauthorized access. However, the transmission of information via the internet is never 100% secure; any transmission is at your own risk.

Data storage:

  • Personal information: All personal information received through our webform is processed by WordPress in secure servers located in the following locations: the United States. That information is then delivered to us so that we may contact you regarding the services requested. We use Google Mail to process and store personal information for the purpose of contacting our customers regarding requested services. Once we have received adequate information regarding your order, we use GoodShuffle Pro to develop and deliver a quote. GoodShuffle Pro uses your personal information to deliver your quote and log your signature. GoodShuffle Pro stores data for as long as is necessary to render services.
  • Cookies and Tracking Technologies: We use Google Analytics to process and store tracking data. Google Analytics employs a data retention period of 14 months. We use CallRail to track incoming phone calls to see how many new phone leads we are receiving. Per their Privacy Policy, CallRail stores this information for 25 months.
  • Payment information: All payment information occurs within GoodShuffle Pro’s infrastructure. GoodShuffle Pro ensures payment information is encrypted and secure by using Stripe as their payment processor, which holds the highest level of security (PCI DSS Level 1). The system uses tokenization, Plaid, multi-factor authentication and AES-256 encryption meaning sensitive financial data never touches or is stored on GoodShuffle’s or Techtonic Events’ own servers, mitigating risk. Users can choose to have GoodShuffle Pro “save” their payment information for future use, but it is securely stored within Stripe’s vault, not by Goodshuffle Pro or Techtonic Events.

Data protection measures:

  • Access control: Access to personal information is strictly limited to authorized personnel who have a legitimate business need to access the data. We enforce strict access controls and regularly review permissions.
  • Encryption: To protect data during transfer and at rest, we employ service providers with robust encryption technologies, including but not limited to tokenization, Plaid, multi-factor authentication and AES-256.
  • Vulnerability Management: We work exclusively with service providers who employ extensive Vulnerability Management to protect and safeguard the sensitive personal information of our customers. 
  • Employee Training: We train our employees to properly handle sensitive personal information in accordance with any and all applicable laws.
  • Incident Response Procedures: If we have been made aware of a data breach including your personal information, we will contact you within 60 days to disclose what data was compromised, steps taken to rectify the breach and recommendations regarding the safeguarding of your information. 

9. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including to provide services, comply with legal obligations, resolve disputes, and enforce agreements. We apply the following retention periods:

    • Personally Identifiable Information (PII): until deletion, limitation or correction is requested by the user.
    • Technical Data (IP addresses, browser types, and usage details collected automatically through cookies and web beacons): for 14 months per Google Analytics’ data retention period.
  • Phone Numbers and Voicemails: CallRail analyzes, tracks and stores data regarding incoming phone calls, including voicemails left by users) for 25 months per their Privacy Policy’s data retention period.

10. Children Under the Age of 13

Our Services are not intended for children under 13 years of age. In compliance with the Children’s Online Privacy Protection Act (COPPA), we do not knowingly collect personal information from children under the age 13. Any children under the age of 13 are not permitted to enter personal information on our site.
