We Produced Two Corporate Holiday Parties in Two Cities on The Same Day!

Producing a large-scale corporate holiday party with live performers, executive presentations, and a hybrid livestream is no small task. Now double it.  For a little extra fun, let’s run both simultaneously and in different states.

That was the assignment when a certain West Coast Burger Chain came to Techtonic Events to get corporate event AV services for their 2025 Corporate Holiday Party. Two venues: one in San Jose, one in Las Vegas. Same day. Same standard. And a talent lineup that included live Mariachi bands, Latin dance troupes, high-energy DJs, and corporate executive addresses.

This is how it went.

Key Takeaways

  • Techtonic Events produced 2 simultaneous large-scale events in San Jose and Las Vegas for the client’s 2025 Corporate Holiday Party
  • Identical enterprise-grade AV packages were deployed at both venues on the same day
  • The production required festival-level live sound, staged lighting, and real-time hybrid video integration
  • 5 dedicated on-site AV technicians per venue monitored systems for 20 hours straight
  • Executives participated via Zoom with live picture-in-picture broadcast to both rooms simultaneously
  • The client left the event stress-free and ready to book again

About The Client

This particular client is one of the most recognized fast food brands in the American West. Family-owned and California-born, the company is known for its tight-knit culture and high employee engagement. Their annual corporate holiday parties reflect that culture: they go big, they celebrate their people, and they expect everything to run without a hitch.

When they came back to Techtonic Events for the 2025 edition, it wasn’t our first time working together and that returning relationship meant the bar for execution was already high.

The Challenge: One Standard, Two Cities, Zero Margin for Error

Corporate event AV services at a single venue are complex enough. This production came with a constraint that very few AV companies could navigate: both events had to happen on the same day, at the same time, to the same standard.

The specific challenges:

  • Scale: Both venues required festival-grade sound, full stage lighting rigs, and multi-camera video
  • Talent complexity: The lineup mixed live performers (Mariachi bands, Latin dance troupes), high-energy DJs, and formal corporate presentations; all requiring different AV configurations
  • Hybrid integration: Executives needed to address all attendees at both locations simultaneously via Zoom, with a professional broadcast-quality feed
  • Simultaneous deployment: Equipment, crew, and logistics had to be split and coordinated across two states without either venue getting a lesser experience

For Bay Area corporations planning large events, this kind of multi-venue or multi-room complexity comes up more often than you’d think. The ability to handle it without degrading quality is what separates a production partner from a vendor.

The Solution: Identical Setups, Dedicated Crews, Meticulous Planning

Matching AV Packages at Both Venues

Rather than customizing each venue independently, Techtonic Events built identical enterprise-grade equipment packages for both San Jose and Las Vegas. This decision kept quality consistent and simplified the logistics of coordinating two simultaneous productions.

Live sound at each venue included:

  • QSC line array PA system
  • Dual 18″ subwoofers for low-end impact
  • 2 delay speakers for uniform room coverage
  • Digital Midas mixing console for complex audio management
  • 16 wireless microphone systems (handheld and lavaliere/lapel mics)

Stage lighting at each venue included:

  • Chamsys lighting consoles for precise programming and control
  • Jolt LED wash lights and Ovation stage wash fixtures
  • Chauvet moving head fixtures
  • ApeLabs uplights
  • Festive LED bistro string lighting throughout the space

A note on projection: The team initially considered LED video walls for both venues. After thorough on-site inspections at each location, they adapted. The venue layouts and budget called for a different approach: 22,000-lumen laser projectors paired with fast-fold screens. The result was the same sharp, high-impact visual clarity the client needed, at a configuration that worked with each room.

That kind of on-the-ground assessment and adjustment is exactly what good corporate event AV services look like in practice.

Hybrid Integration: Connecting Both Rooms in Real Time

The most technically demanding piece of the production wasn’t the live sound or the lighting. It was the hybrid integration.

Executives needed to address all employees at both the San Jose and Las Vegas events simultaneously. That meant a real-time multi-camera livestream linking the two venues, with Zoom integration for executive call-ins.

The system Techtonic Events built for this:

  • Multi-camera livestream feeds at both venues running concurrently
  • Advanced video switchers handling real-time broadcast switching
  • Picture-in-picture graphics displaying the executive video feed alongside slides and room content
  • Live Zoom integration for remote executive appearances that looked polished on every screen in both rooms

This wasn’t a Zoom call on a laptop pointed at a projector. It was a broadcast-grade production that made remote participants feel present in both rooms at once.

Five Technicians Per Venue, On the Clock for 20 Hours

Executing complex corporate event AV services across two simultaneous large-scale productions requires more than good equipment. It requires the right people, in the right roles, with the authority to solve problems in real time.

Techtonic Events deployed 5 specialized technicians at each venue:

  • A1 and A2 Audio Engineers managing live audio mixing and feedback prevention across a diverse talent lineup
  • V1 and V2 Video Engineers overseeing the hybrid broadcast, Zoom integration, and camera switching
  • L1 Lighting Engineers executing live lighting cues for performances and presentations

Those teams monitored in-room systems and the cross-country livestream for 20 consecutive hours. Not a skeleton crew checking in periodically. Dedicated specialists watching every signal, every feed, every cue.

The Result

Both events ran without technical issues. The audio was clear through every performance and presentation. The lighting shifted between a Mariachi set and an executive address without missing a beat. The hybrid broadcast connected both rooms professionally.

At the end of the night, the client was happy, relaxed, and ready to book the next one.
